Comments, discussions and change proposals

Discuss a document with colleagues and the other party, mention people, and accept or reject proposed changes.

Negotiate inside fynk instead of sending Word files back and forth. Everyone comments in the same document, the other party proposes changes, and you decide what goes in.

Comment on a document

  1. Select text in the document and click the comment icon, or open Discussions in the right-hand panel for a general comment. [CHECK: labels]
  2. Write your comment. Type @ to mention a colleague or an external person; they're notified.
  3. Choose who can see it:
    • Internal: only your team
    • Everyone: your team and the external parties
  4. Post it.

Owners and Admins can make new comments and proposals internal by default with Default to internal comments and proposals under Account Settings → Document workflow. You can override this for each comment or proposal.

Propose changes

Instead of editing directly, you and the other party can suggest changes to the text. Each proposal shows what would be deleted and added.

  • External parties can only propose changes, never edit directly.
  • You decide: Accept applies the change to the text, Reject discards it.
  • Accepted and rejected proposals stay visible in the discussion history.

Resolve discussions

When a topic is settled, resolve the comment. Resolved comments are hidden from the document but stay in the history.

Good to know

  • Comments can't be edited or deleted after posting, only resolved. This keeps the negotiation history complete. You can still change a comment's visibility with the eye icon, unless the comment has visible replies.
  • Proposals are only possible in documents created in the fynk editor. In uploaded PDFs, use general comments.
  • Comments in uploaded PDFs can't be attached to a specific passage. [CHECK]
  • Open comments and proposals are shown with an icon in the document list, so you can see where a reply is pending.
  • To ask a colleague for a quick, informal OK, mention them in an internal comment. For a formal approval, use a checkpoint. See Internal approvals with checkpoints.
  • If the other party prefers Word, export the document with comments and proposals, and import their version as a revision. See Import from Word and export to Word or PDF.
