Contract dates, durations and notice periods

How fynk handles fixed-term, open-ended and auto-renewing contracts, and how the notice date is calculated.

fynk uses a contract's dates to remind you of deadlines and show them in the calendar and on dashboards. The most important is the notice date: the last day you can cancel before the contract renews.

Where to find a document's dates

Open the document and go to Dates and duration (calendar icon) in the right-hand panel. For imported contracts, the AI fills the dates in. Check and confirm them. See Review and confirm AI analysis results.

Choose the duration type

The duration type decides which date fields a document gets:

How dates are calculated

Example: An auto-renewing contract ends on 15 January 2026 and has a notice period of two weeks. The notice date is 1 January 2026. With the default settings, you get a reminder two weeks earlier, on 18 December 2025.

When an auto-renewing contract passes its end date without being cancelled, the end date shown in the document stays the same. fynk automatically updates the notice date and the reminders for each new renewal period.

Override a calculated value

If the contract states a different notice date, enter it yourself. To go back to the calculation, click … next to the field and choose Use auto-generated value.

In templates, you can also link a date field to a dynamic field, so the date entered in the contract is used. See Dynamic fields, metadata or tags: which to use.

Record a termination

If you or the other party cancel a contract, enter the termination date. fynk then calculates the expiration date and stops renewal reminders. [CHECK] You can also add the cancellation letter as a linked document or attachment.

Notice terms fynk can't calculate

fynk calculates the notice date only as the renewal date minus the notice period. Terms such as "6 weeks to the end of the quarter" or "3 months to the end of the year" aren't calculated. Enter the notice date yourself, or create a custom date field for the cancellation date, let the AI extract it, and base a task on it. See Create custom metadata the AI can extract.

Good to know

  • Open-ended contracts have no fixed end, so fynk can't calculate a notice date for them. Use a task to remind yourself, for example once a year. See Tasks: assign and automate follow-ups.

  • Dates are shown in the format of your language setting.

  • In documents and signature blocks, the document language sets the date format. For example, English (UK) shows dd/mm/yyyy. If no document language is set, dates appear as mm/dd/yyyy.

  • Reminders are only sent for confirmed dates.

  • The Created date is the day the document was uploaded or created in fynk, not the contract date. The contract's own dates are under Dates and duration.
