Export documents and metadata

Download your documents as a ZIP archive, or your metadata as an Excel file for reports and backups.

Export documents to keep a backup, hand them over to someone outside fynk, or build reports from your metadata in Excel.

Choose what to export

Export documents

  1. Go to Documents.

  2. Filter the list to the documents you want, or select them with the checkboxes. To export everything, select all documents that match your filters.

  3. Choose Export from the bulk actions.

  4. Choose Full archive or Metadata only.

Small exports download straight away. Larger exports are prepared in the background. You'll find them under Account Settings → Exports when they're ready. [CHECK: notification when ready?]

Exports appear there as ZIP downloads, with their status, the number of documents, the content (Full archive or Only metadata), the size and who created them. Download links expire 7 days after they're created.

Good to know

  • Only Owners and Admins can export. Other roles can see the list but can't download it as a file.

  • The metadata export always contains all metadata fields. To build a report, delete the columns you don't need in Excel.

  • Values in the export are the confirmed values. Unconfirmed AI suggestions aren't included. [CHECK]

  • Archived documents are only included if you show them with the Archive filter.

  • To export automatically on a schedule or into another system, use the API. See Integrations overview.

  • To move documents to another fynk account, export them as a full archive and import the PDFs in the other account.
