Conditions: show or hide content

Show or hide clauses automatically based on the values of dynamic fields, so one template covers several variants of a contract.

Conditions let one template cover several versions of a contract. A clause appears only if a dynamic field has a certain value, for example a non-compete clause only for senior roles, or a penalty clause only above a certain contract value.

Before you start

Create the dynamic field that controls the condition. Good controlling fields are:

  • Yes / No, for example "Include non-compete clause?"

  • Select, for example "Version A" or "Version B"

  • Number or Currency, for example "Contract value greater than 50,000"

Add a condition

  1. In the template, select the paragraphs that should be shown or hidden.

  2. Open the command menu (Ctrl/Cmd+P) and choose Add condition. [CHECK: label]

  3. Choose the controlling field, the comparison and the value, for example Include non-compete clause? is Yes.

  4. Save.

In the editor, the conditional text is marked with an indicator on the left. Text whose condition is met is highlighted in green; text whose condition isn't met is shown faded.

What happens in the document

  • If the condition is met, the text is part of the document, the PDF and what the other party sees.

  • If it isn't met, the text is hidden: it doesn't appear in the PDF and external parties don't see it.

  • If someone changes the field value later, for example during review, the text appears or disappears accordingly.

Combine conditions

One field can control several conditions, for example to switch between version A and version B of a clause. A condition can also combine several statements with AND or OR, for example contract value is greater than 50,000 AND duration is less than 12 months. Besides "is" and "greater than", you can check whether a field is empty or not empty, or starts with certain text.

Limits to know

  • Conditions work on whole paragraphs, not single words in a sentence. To vary a few words, use a dynamic field, or two versions of the sentence each with its own condition.

  • Conditions can be set on tables and table columns. To show or hide a whole table, select it together with the line above and below. Conditions don't work inside dynamic pricing tables. [CHECK]

  • Conditions can only be created and changed in templates, not in documents.

  • Mandatory dynamic fields inside a hidden section still have to be filled in. [CHECK]

  • Numbering adjusts automatically when a numbered clause is hidden. [CHECK]

  • A clause can't depend on the party type (company or individual). Use neutral wording that fits both, or add a Yes / No field such as "Party is a company?" and base the condition on it.

Example: optional signature

To let users decide whether a second person signs, add a Yes / No field "Second signatory?" and put the second signature block in a condition based on it.
