PDF templates and PDF form fields

Turn a finished PDF into a template, place fields on it for the details that change, and use PDFs with built-in form fields.

If your contract already exists as a polished PDF, for example a form or a contract with a complex layout, you don't have to rebuild it in the editor. Create a PDF template instead and place fields and signature blocks on top of the PDF.

Create a PDF template

  1. Go to Templates, click Create and drag in the PDF.

  2. Add the parties. See Parties and signatories in templates.

  3. Drag dynamic fields onto the PDF where information must be filled in. Use the placement aid to help position them.

  4. Place the signature blocks.

  5. Publish the template.

When someone creates a document, they fill in the fields, and the values are printed onto the PDF.

PDFs with form fields

Many PDF forms already contain fillable fields. When you upload such a PDF, fynk turns its form fields into dynamic fields, so you can fill them in fynk.

If you don't need the form fields, flatten the PDF instead: fynk detects the form fields and offers to flatten the file with one click. Flattening creates a new revision and keeps the original. [CHECK: label]

Good to know

  • Fields you only use internally, for example for static text added on top of the PDF, can be set to internal visibility.

  • Some qualified signature providers remove or reject form fields. Flatten the PDF before signing with QES. See A PDF won't upload or shows errors.

  • PDF templates also work with automations. See Bulk-create documents from Excel (Automations).

  • To sign a single PDF without creating a template, upload it directly. See Sign an uploaded PDF.

  • Fields are placed on top of the PDF and don't replace anything in it. Remove existing placeholder marks, such as a red X, from the PDF before you upload it.
