Metadata explained
The three kinds of metadata in fynk (system, reference and your own) and the data types you can use.

Metadata are the structured details of a contract: dates, values, parties, clauses and anything else you want to track. They power reminders, filters, the calendar, dashboards and exports. The AI fills them in when it analyses a document, and you can edit them any time.

Three kinds of metadata
You'll find all metadata in Account Settings → Metadata, in three tabs:
The list shows each field's name, type, category and document types.
Fields marked with a lightning icon are calculated automatically, for example the notice date from the end date and the notice period. [CHECK: icon name]
Data types
Each field has a data type that decides what can be entered and how it can be filtered:
Text and Multi-line text: free text, such as a reference number or a description.
Number: whole numbers.
Currency and Currency over time: an amount, or a recurring amount with an interval such as monthly rent. Amounts use a currency from a fixed list of allowed currencies.
Date and Duration: a date, or a period such as "3 months".
Select and Multi-select: one or several values from a list you define.
Yes / No, Email, Timestamp.
Clause: a passage of the contract, such as the liability clause.
You can't change a field's data type after creating it. To use a different type, create a new field.
Where metadata appear in a document
Open a document and click the Metadata icon in the right-hand panel to see and edit its values.
Dates and deadlines, such as start, end and notice period, are in Dates and duration (calendar icon).
Clauses are highlighted in the document, so you can jump to the passage.
To add a field the document doesn't have yet, click + Add Metadata in the metadata panel and pick it from the list. This works in templates too.
Dates and durations fynk fills in
Some dates are set automatically: Creation date, Review date (when the document moves to Review), Signing date (when signing starts) and Fully signed date. The process durations are calculated from them:
Draft duration: from creation to the start of Review.
Review duration: from the start of Review to the start of signing.
Signing duration: from the start of signing until the document is fully signed.
The Creation date is when the document was added to fynk, for example the upload date. It isn't the contract date. Contract dates are in Dates and duration.
Good to know
Which fields a document gets depends on its document type. See Document types: set up and customise.
Turn off reference fields you don't need for AI analysis to keep results focused. Also check whether a reference field should be extracted for more document types.
Use text, not number, for IDs such as tax numbers or phone numbers, so leading zeros are kept.
Metadata are different from dynamic fields in templates. See Dynamic fields, metadata or tags: which to use.
Metadata set on a template are copied to documents created from it. Later changes to the template's metadata don't reach existing documents, so update those documents directly.
System fields can't be hidden or renamed. To keep the document list focused, use a saved view with only the columns you need, or create your own field with the name you want.
fynk doesn't number contracts automatically. For a contract number, create a text field with AI analysis turned off and fill it in by hand, or set it from your CRM or through the API.
