AI analysis didn't find a value or can't process a file
Why a metadata field stays empty or shows the wrong value, and how to get better AI results.

The AI analysis reads each document and fills in its metadata. If a field stays empty, shows a wrong value, or the analysis doesn't run at all, one of the causes below is usually responsible.
Available on all plans
A field stays empty
Check these in order:
Is the value in the document? The AI only extracts what's written. If the contract doesn't state an end date, the field stays empty.
Is the field assigned to this document type? Go to Account Settings → Metadata, open the field and check Specify relevant document types. Fields are assigned to document types, not to templates. See Document types: set up and customise.
Is the field included in AI analysis? Open the field and check that Use this metadata in AI analyses is on.
Is the document type correct? If the AI picked the wrong type, it looked for the wrong fields. Change the type and run the analysis again.
A value is wrong
Improve the field's description and prompt: say where the value usually is, what format to return, and what to do if it's missing. See Create custom metadata the AI can extract.
Split fields that ask for more than one thing.
For dates, check whether the contract has a signing date and a different start date.
Correct the value manually and confirm it. Confirmed values aren't overwritten unless you choose to.
The analysis didn't run or shows an error
Run the analysis again
After fixing the cause, run the analysis again for just the fields you changed. See Fill new metadata on existing documents.
When you test a changed description, use a newly uploaded document. Running it again on the same document can show the previous result. [CHECK]
Good to know
Poor scans give poor results. If a scan is hard for you to read, the AI will struggle too.
Text recognition works best for languages written in Latin script. Results for other scripts, such as Cyrillic, Chinese or Japanese, may be less reliable. [CHECK]
Calculations, such as adding up several amounts, aren't reliable. Extract the parts instead.
