Document access: owner, collaborator, viewer and Join document
The roles people have on a single document, and why you sometimes need to click Join document first.

Besides their account role, everyone involved in a document has a role on that document. This decides whether they can edit it, and whether they get its notifications.

Roles on a document
The document owner isn't the same as the account Owner role. Every document has its own document owner.
Join document
If you can see a document through your team, but you're not on it yet, fynk shows a blue bar at the top: Join document. Click it before you:
edit the document or its metadata,
rename it, change parties or run AI analysis,
want to receive its notifications and reminders.
Joining adds you as a collaborator and is recorded in the activity feed. Limited Managers can't join on their own; someone has to invite them.
Invite colleagues to one document
Open the document and click Invite.
Enter the colleague's name or email address.
Choose Collaborator or Viewer.
This is useful when someone isn't in the document's team but needs to help with this one document. To give people access to many documents, use teams instead.
Good to know
Notifications about a document, such as renewal reminders, go to the document owner and collaborators. Colleagues who only see a document through their team don't get them unless they join, or unless you notify the whole team. See Renewal and deadline reminders.
