Renewal and deadline reminders

Which reminders fynk sends by default, who gets them, and how to change them for your account, a template or a single document.

fynk reminds you before important contract dates, so you never miss a notice date or a renewal. The reminders work out of the box. You can change when they're sent and who gets them.

Default reminders

By default, Owners and Collaborators who are internal users get these reminders two weeks before each date:

Who gets reminders

You can send each reminder to:

  • Owners: the internal user responsible for the document, usually whoever created it

  • Collaborators: everyone with access to the document who isn't an owner or signatory

  • Signatories: everyone who signs the document

You can also send a reminder to whole teams. Under Scope, choose Internal users, External users or both. By default, deadline reminders only go to internal users.

Change the reminders

You can change the timing, the recipients and how often a reminder repeats at three levels. The most specific one wins:

  1. Document: open the document and go to Notifications in the right-hand panel. Changes apply only to this document.

  2. Template: set reminders in the template. Every document created from it inherits them.

  3. Account: go to Account Settings → Notifications. These defaults apply to every document that doesn't have its own settings.

In the account settings, click ⋯ on a reminder to open Edit notification. There you set the Recipients (roles and scope), Teams, the Trigger time (a condition such as 2 weeks before, or a specific date) and the Webhooks that also receive the reminder. To turn a reminder off, click Disable this type.

Reminders for your own dates

To be reminded about other dates, such as a price adjustment or the end of a warranty period, create a date field in metadata and set up a task based on it. See Tasks: assign and automate follow-ups.

Choose how you're notified

Each user decides whether they get notifications in fynk, by email or both, under User settings → Notifications. In-app notifications appear in your Inbox.

Good to know

  • Reminders need a confirmed date. If an imported document still has unconfirmed AI results, no reminders are sent. See Review and confirm AI analysis results.

  • Team members aren't notified just because they're in a team. To notify a whole team, select it under Teams in the notification settings.

  • Reminder times are based on UTC.

Troubleshooting

  • No reminder arrived: check that the date is confirmed, that you're an internal user on the document, and that the reminder isn't switched off for this document or template. Then check your notification settings and your spam folder.

  • Too many reminders: turn off the ones you don't need in your account defaults, or set fewer recipients.
