Archive, delete and restore documents

The difference between archiving and deleting, who can do which, and what to do if a document was deleted by mistake.

Archiving hides a document from your everyday lists but keeps it. Deleting removes it. Use the archive for contracts you no longer work with, and delete only documents you really don't need, such as test uploads or duplicates.

Archive documents

  • One document: open it, open the document actions menu and choose Archive.

  • Many documents: select them in the document list and choose Archive from the bulk actions.

To see archived documents, use the Archive filter in the document list. To bring a document back, open it and choose Unarchive. [CHECK: label]

Delete documents

  1. Select the documents in the document list, or open a single document.

  2. Choose Delete.

  3. Confirm.

Deleted documents are removed for everyone, including their attachments, file storage and history.

Restore a deleted document

There's no recycle bin in fynk. If a document was deleted by mistake, contact support as soon as possible. Support can restore deleted documents within 10 days of deletion. After that, they're gone for good.

When you contact support, include the document name and roughly when it was deleted.

Good to know

  • Archived documents don't count towards your document limit.

  • Archived documents don't send notifications or reminders and don't appear in calendar feeds.

  • To mark a contract as ended without archiving it, set its end date or termination date. See Contract dates, durations and notice periods.

  • If you want Managers and Editors to remove documents but not delete them, archiving is the safe option. Owners and Admins can review the archive and delete what's not needed.

  • Documents can't be deleted automatically after a retention period. Delete them yourself when they're no longer needed.
